Universal Import Facility


 

 

The Universal Import Facility can be used with W-2 output from ANY PROGRAM.  In order to import, you print your W-2 or 1099-MISC data to a file using a Generic Printer driver.

 

To setup a Generic Printer

 Ø Go to Start / Settings / Printers and select Add a Printer

 Ø Select Generic as the manufacturer

 Ø When asked for the output destination, select FILE.

 

In your accounting program, select the Generic printer as your output printer.  Print your W-2s or 1099-misc.  When you go to print them, you will be prompted for a filename.  Use any name you want.  Your W-2/1099 data will be captured to that file. 

 

In our program, perform the following:

1. Select Utilities / Import-Export / Universal Import.  We have defined the Ctl-Shift-U hotkey for easy access to this.

2. You will be brought to an introductory screen.  Continue with the import.  If necessary you can delete existing W-2/1099 data for a payor or  set the zip codes to use 5 digits only.

3. After selecting the import, you will be brought to a screen where you will need to understand the concepts behind the import.

 

 a. Import Profies can be maintained.  Within the profile are certain settins that will be saved along with the filename and path.

 b. On the right side of the profile are the field mappings.  We have provided ou with standardized ones that can be modified or copied to      a new profile.

 c. You must view the layout of your import file prior to importing.  This is done by clicking on the file open icon above the editor.  Use      this to check your field mappings.  The position of each field (row/column) and their length is shown in the status area of the editor.       The definition of the field mappings is critical to a successful import.

 d. Once you have viewed the file, select the button in the bottom left to perform the import.  At the end of the import, you will be shown a 

  summary screen with the totals of the data that was imported.  Review this carefully

 e. Once the import is done, you will need to finalize it and bring the data into your files.  

 

You should always backup your data prior to importing.
